How Virginia hemp buyers can document quotes, acceptance conditions, payment timing, and remedies before placing an order.
Payment terms are only one part of a sound wholesale agreement. For hemp products, the account should also define which documents are due before approval, what constitutes an acceptable lot, and what happens when goods or records do not match.
Complete product diligence before credit diligence

Put the commercial basics in writing
- Legal names, billing and shipping addresses, and authorized contacts.
- Exact SKU, formula version, package size, lot requirements, and quantity.
- Price, freight, deposit, payment due date, late-payment terms, and accepted method.
- Lead time, title and risk of loss, inspection window, and damage procedure.
- Required COA and document set, acceptance criteria, and remedies for nonconformity.
- Return, replacement, cancellation, recall-cooperation, and record-retention terms.
Choose terms that fit actual cash flow
Prepayment, deposit plus balance, payment on delivery, and invoiced terms each allocate risk differently. A buyer should forecast payment using conservative sales assumptions and should not order merely to reach a credit threshold. A supplier may request a credit application, references, guarantees, or financial information; share sensitive information through an appropriate secure process.
Do not let terms weaken acceptance rights
Specify that payment or delivery does not waive a timely claim for concealed damage, document mismatch, or failed agreed specification. Define quarantine and notification steps. Never place a disputed lot into retail inventory while waiting for the supplier's response.
Account for dated THC rules
Virginia's 2 mg total-THC-per-package ceiling took effect August 15, 2026, and the former 25:1 allowance was repealed. A federal change scheduled for November 12, 2026 would exclude final hemp-derived cannabinoid products above 0.4 mg total THC per container. Agreements for production or delivery near that date should address which standard applies and who bears the cost if a lot cannot be accepted.
Maintain the account record
Store signed terms, approved quotes, purchase orders, invoices, payment records, shipping documents, COAs, labels, receiving checks, and issue correspondence together. Review changes to bank details or payment instructions through a known contact to reduce fraud risk.
